Where Do I Start?

A good place to start is the checklist below:

  • Must be on Rx30 version 3.4.8 or higher
  • Must have a LifeLine connection
  • Should have received your Refill Rx Starter Kit
  • Highly recommended that you have Internet Access

If you do not have Rx30 3.4.8 or LifeLine and would like to provide the Refill Rx service to your customers, then contact TDS. Otherwise, the remainder of this document provides instructions intended to orient you to the Refill Rx system. Topics discussed below are - the contents of your Refill Rx Starter Kit, running the Refill Rx demo site, how to setup your Refill Rx home page, Refill Rx functionality within Rx30, how to sign-up your patients to use the Refill Rx system, and ideas on how to promote your new Refill Rx pharmacy web site.

What if I don't have Internet Access?

Although Refill Rx does not require that you have Internet access, it is recommended. This is because maintenance to your site is done using a web browser. For those who do not have Internet access, a faxable form can be requested that may be filled out and returned to TDS where it will be used to create your web site. If you would like to get Internet access, then contact a local Internet provider. If you would like more information on how to locate an Internet provider, then contact TDS.

The Refill Rx Starter Kit

When you sign-up for Refill Rx you will be sent a Refill Rx Starter Kit. The kit includes:

  • 200 Blank Refill Rx Patient ID Cards
  • One plastic display frame with Refill Rx Ad insert
  • One Refill Rx Ad for window or other display
  • One Refill Rx Pharmacy Information Sheet (this document)
  • One Refill Rx Patient Information Sheet
  • Sample pages from the Refill Rx web site

The ID cards are business card size and provide two boxes for hand-writing or typing the Pharmacy and Patient IDs. Your Pharmacy ID is determined when you sign-up at the Refill Rx site (see below). The patient ID is system generated and can be found by bringing up a patient record and pressing F6. For security, the ID is view only. The patient information sheet can be copied and distributed to your patients. It provides instructions to get them started using the system. The information is brief and is serves more as an orientation. The Refill Rx site has a complete help system. The sample pages are actual print outs from the Refill Rx demo web site. They are provided to give you an idea of the look of the Refill Rx site, and possibly as a guide to laying out your home page.

The Refill Rx Demo Web Site

The Refill Rx demo site provides you with a tour of the Refill Rx system. To start the tour - bring up the Refill Rx home page at www.refillrx.com, then key in refillrx in the box and press enter, or click on the Demo link. This will take you to the sample pharmacy home page. Follow the on-screen instructions to complete the tour.

Setting up Your Refill Rx Pharmacy Home Page

The first step in setting up your home page is to locate your Refill Rx Pharmacy Code. This is found on your Rx30 store name and address screen. You will need this code to sign-up for Refill Rx and to maintain your pharmacy home page. Follow the steps below to setup your pharmacy home page.

  1. Bring up the Refill Rx home page located at www.refillrx.com on your web browser.
  2. Key refillrx into the edit box and press enter. This will take you to the demo site.
  3. Click on the Refill Rx Sign-up button to the left. This will bring up the pharmacy sign-up login page.
  4. If you are creating a new home page, then enter the Pharmacy Code from your store screen and your full 10-digit phone number and click the Submit button.
  5. If you are updating an existing home page, then enter the Pharmacy Code from your store screen and your password. Your password is defined by you during the creation of your initial home page.
  6. You should now be at the Pharmacy Profile page. Follow the on-screen instructions to create or update your pharmacy home page.
  7. To save your changes click the Save Profile button located at the bottom of the page.

Also located at the bottom of the page is a Preview Page button for previewing your home page. Only data that has been saved will be included in the preview. You may make changes to your home page as often as you like. All changes are effective immediately and become visible to your customers as soon as you press the Save Profile button.

Remember to Mail in your Pharmacy Photo

As part of your pharmacy home page you can display a photograph of your pharmacy. To have this added to your site, you must mail a finished 3x5 or 4x6 photo to TDS for scanning. If you do not, then a default photo/graphic will be used in its place.

Refill Rx Functionality within Rx30

There are 3 locations within Rx30 where Refill Rx appears - the prescription fill screen, the store name and address screen, and patient record maintenance.

Pharmacy Code

The store name and address screen displays the Pharmacy Code. This code along with either a password or the store phone number is needed in order to perform maintenance on the pharmacy's Refill Rx home page.

Patient IDs

Pressing F7 Detail while in patient record maintenance and then selecting Refill Rx ID from the menu will display the patient's Refill Rx ID. The Patient ID along with the Pharmacy ID defined in your Refill Rx profile are what go on a Refill Rx Patient ID card.

Refill Requests

The prescriptions that have been submitted to the Rx30 system can be accessed by pressing F8 Mode at the fill screen and then selecting Refill Rx Requests from the menu. This will bring up a selection screen from which you can select an individual request, tag a group of requests for processing, or simply view the requests. Information displayed on the selection screen includes - request status, as of date, prescription number, patient name, and a message to the pharmacist. During times of inactivity, a small window will appear alerting you to the fact that new Refill Rx requests have arrived.

The Refill Rx selection screen is sorted first by status, then date and time, from the oldest request to the newest. Status is displayed in the following order:

  1. Refill Request - a refill has been requested
  2. Rx on Hold - the refill is on hold or awaiting on-line adjudication
  3. Can't Refill - the rx was selected for refill but a refill or renewal did not result
  4. Filled & Ready - the rx was refilled or renewed

Refills in the Refill Request state will remain on the selection screen until serviced. Refills in any other state are automatically removed from the selection screen after 5 days.

You should avoid placing Refill Rx refills On Hold until the customer arrives. Otherwise customers performing a status of the prescription will be informed by Refill Rx that the refill is in progress and is not yet ready.

Keep Rx30 Running!

It is a good idea to leave your Rx30 pharmacy system running after hours. Doing so will provide your customers with full Refill Rx functionality. If you bring your Rx30 system down, then your customers will be limited to posting requests with the Refill Rx server. They will not be able to interact with your pharmacy to receive status information or to use the Refill Rx profiling feature.

Signing up your Patients

All a patient needs in order to use the Refill Rx system is a Pharmacy ID and a Patient ID. Provided with your Refill Rx starter kit are 200 blank Refill Rx ID cards on which the two IDs can be hand-written or typed. In addition to the cards, the kit also comes with a color printed copy of the patient information sheet.

To sign-up a patient:

  • Issue them a completed Refill Rx Patient ID card. The pharmacy ID is the name of your store's web site, which is defined in your Refill Rx profile. The patient ID is system generated and can be found by pressing F7 Detail while viewing the patient's data and then selecting Refill Rx ID. Since neither ID is case sensitive, it is a good idea to hand write or type the IDs in all caps to increase their readability by your customers.
  • Give them a copy of the patient information sheet. The sheet contains enough information for them to get logged into your web site. Once at your site they can view the help for further assistance.

Ideas for Promoting Your New Refill Rx Pharmacy Web Site

Keep in mind that the Refill Rx service can do more than just reduce the number of phone calls to your pharmacy, it can also attract new customers. A potential customer is not required to have a prescription with your pharmacy in order to access your home page. So, distribute that web address freely. Below are just a few ideas for promoting your Refill Rx web site.

  • You can advertise your web site in the newspaper, flyers and mailers. One nice feature of the Refill Rx service is that your web site can be addressed directly. What this means is that you can include your Pharmacy ID in the URL. For example, suppose your Pharmacy ID is Blakesdrug. You can advertise access to your home page as www.refillrx.com/blakesdrug. This means that if someone using a web browser keys in this URL they will be taken directly to your pharmacy home page.
  • You can place a Refill Rx advertisement directly on your prescription label. For example, along the bottom of the label simply put "Refill it at www.refillrx.com/blakesdrug."
  • Place the framed Refill Rx Ad display in a conspicuous place.
  • Post the unframed Refill Rx Ad on your store window or door.
